A question we get often: “We have Visma already - why do we need Leasi?”
That’s a fair question, and the answer requires us to be precise about what ERP does and doesn’t do - and where the operational layer actually lives.
What ERP does
ERPs like Visma, Unit4 UBW and Microsoft Dynamics 365 Business Central are first and foremost accounting systems. They handle:
- General ledger, AR and AP
- Invoices, credit notes and accruals
- Project accounting and cost allocation
- Payroll and reporting
What they’re extremely good at is financial truth - numbers that can be audited and reported to authorities.
What ERP doesn’t do
What ERPs aren’t built for is the daily operational reality of a fleet:
- Which machine is going to service next week?
- Is CAT 730 available from Friday to Wednesday?
- What does Volvo EC230 emit on project E39?
- When does the crane’s statutory inspection expire?
You can force the ERP to hold some of this data - but you’ll end up with a flat table that doesn’t scale, or you’ll pay a consultant to build a complex customization that’s hard to upgrade.
What fleet management tools do (and don’t)
On the other side you have fleet management tools like Trackunit or the OEM telematics portals. They’re good at sensor data - position, operations, fuel. But they stop there.
They don’t know the machine is on a rental order. They don’t know a billing line should be generated. They don’t have a data model for collaboration between companies. And they don’t export to your accounting system.
The operational layer in between
Between ERP and telematics sits the operational layer where machines are actually:
- Booked on projects
- Get work orders
- Are maintained and inspected
- Generate billing data
- Are shared between companies
- Are aggregated into environmental accounting and per-project emissions reports
